Your loyalty club and campaigns

This chapter covers two things: the loyalty club, where guests join with their email, earn points at the till and keep a card on their phone; and campaigns, the emails you send to the guests who said yes to news and offers. Owners and managers with Guests & loyalty access send campaigns.

Before you start

  • The club and campaigns are on Sofrito Cloud. On a Sofrito Hub, open your back office at sofritopos.app.
  • The club uses your loyalty points: turn them on in Settings › Loyalty, and choose how guests earn and spend them there.
  • Your guest pages must be published: see Your menu online and table QR codes.
  • To send campaigns, your profile needs an email address, which you confirm once with a code (see below).

How guests join

Guests can join in three places:

  • your website, from a Loyalty club section (see Your restaurant's website);
  • your menu and table pages, from Our club at the top and the card beside the menu;
  • the club's own page, at your guest pages' address followed by /club, for example on a poster or a receipt.

A guest gives their name and email (a phone number if they like) and ticks whether they want news and offers. The box starts unticked: only guests who tick it receive your campaigns.

Sofrito then emails them a link to confirm. Until they confirm, nothing about them is kept in your guest book, so nobody can join someone else; the page the link opens shows what was typed, for them to check. When they confirm:

  • they appear in Guests & loyalty with the club tag (someone already in your guest book with that email and first name is found, not added twice; two people who share an email address each get their own profile);
  • they get their card: a page of their own with their points, what the points are worth, their latest visits, and their say on news and offers;
  • they receive an email with their card's link, to come back to it.

A guest who lost their card's link joins again with the same email: they get a new card, and the old link stops working.

At the till

Members earn and spend points as any guest does. Ask for their name, phone number or email, add them to the order, and take the payment: their points show on their card at once. When they have enough, spend their points on the bill as usual (see Guests and loyalty).

Leaving, and what guests decide

On their card, guests can stop or restart news and offers at any time, and leave the club. Leaving ends their card and their news; their points stay with their details at your restaurant.

A guest who leaves can also ask to have their details deleted. Sofrito deletes them as you would from their profile (receipts stay, as the law requires) when the club made their profile. If the profile was in your guest book before they joined, or Sofrito can't delete it right away (a Sofrito Hub serves your restaurant, or they owe money on a house account), their profile says Asked to have their details deleted with the date: delete them from their profile as soon as you can.

Every change of a guest's say on news is recorded with where it was made. Their profile shows the latest, for example Said no to news and offers from an email, 20 Oct 2026: that is your proof of consent, and of its end.

When a guest says no themselves (from an email, their card, or leaving the club), it counts for their email address: no campaign reaches that address again, even from another profile with it, an old file you import, or a box ticked on their profile, until they say yes again themselves (joining the club or on their card). Their profile says so.

Send a campaign

The first time, Sofrito asks you to confirm your email address: select Email me a code, then type the code from the email and select Confirm. Campaigns only go from someone whose address answers for them.

  1. In the back office, select Guests & loyalty, then Campaigns, then New campaign.
  2. Write a Subject and a Message. Write {name} where the guest's first name should go, and leave an empty line between paragraphs. Leave web addresses out: the button below is the email's link.
    • Where AI is set up, select Describe it and let Sofrito write it, give the facts ("Our autumn menu starts on Friday: chestnut soup and roast kid"), and select Write the email. Sofrito writes only with what you give it and your restaurant's details, in your restaurant's language. Read it and make it yours.
  3. Choose a Button: your menu, your website or your club, with its words. The page it leads to must be published.
  4. Under Who receives it, choose Everyone, Club members, guests who Came lately, or guests who Haven't come for a while, with a number of days. Sofrito says how many it goes to.
  5. Look at the Preview: it is the email as guests will receive it.
  6. Select Send me a test: it goes to your own email address only.
  7. Select Send to … guests, then tap again to send it.

Emails go out a few at a time, up to 2,000 a day for your restaurant (200 a day in its first two weeks). Just before each guest's email, Sofrito checks they still want news: a guest who said no in the meantime receives nothing, even from a campaign already under way. Select Stop sending to stop a campaign: guests who haven't received it yet won't. While a Sofrito Hub serves your restaurant and hasn't synced for a while, campaigns wait for it, in case guests said no to your staff there.

Read the results

Open a campaign to see how many received it, how many came back within two weeks of their email, and how many stopped news after it. Guests left out are counted with the reason (they said no before their turn, have no email address any more, or the mail service refuses their address).

These are measurements, not proof: a guest who came back may have come anyway. Sofrito never tracks who opens your emails.

Good practice

  • Write as you would speak to a regular: short, specific, and about something real (a new dish, an evening, an offer).
  • Send a test to yourself first, and read it on your phone.
  • A few good emails a month work better than many.
  • Put the club's page on your menu, receipts and table cards: guests join while they are with you.
